Phone English · Real-life speaking
Hear the beep? You know what to say.
You call someone in English, but they don’t answer. After the beep, you need to leave a message. Don’t freeze or try to make a perfect speech. A useful voicemail is short, clear, and polite.
Your simple formula: Say your name → Explain why you’re calling → Leave a way to reply → Say thank you.
Start simply
“Hi, this is Alex speaking.”
Identify yourself at the beginning so the listener knows who’s calling.
Say why you’re calling
“I’m calling about tomorrow’s appointment.”
One short sentence is usually enough. Save the details for the return call.
Useful voicemail phrases
| What to say | Why it helps |
|---|---|
| “Hi, this is [your name].” | Introduce yourself. |
| “I’m calling about our meeting.” | State the reason. |
| “I just wanted to check the time.” | Explain a simple question. |
| “Could you call me back when you have a moment?” | Politely request a reply. |
| “My number is [your number].” | Give callback information. |
| “Again, that’s [your number].” | Repeat the number clearly. |
| “You can also reply by email.” | Offer another way to reach you. |
| “Thank you. Have a great day!” | End warmly and politely. |
Example: a clear 20-second voicemail
Voicemail: “Hello. Please leave a message after the beep.”
You: “Hi, this is Alex Morgan.”
You: “I’m calling about our appointment tomorrow.”
You: “Could you call me back when you have a moment?”
You: “My number is [your phone number]. Again, that’s [your phone number].”
You: “Thank you. Have a great day!”
Four steps that work almost anywhere
“Hi, this is Alex speaking.”
“I’m calling about the meeting.”
“Please call me back at [your number].”
“Thanks so much. Goodbye!”
Speaking tip: Say your phone number slowly, in small groups. Repeat it once. Pause briefly before ending the message.
Keep it short: Give the listener only what they need to understand and reply. Avoid putting passwords, banking information, or other sensitive details into voicemail.
Another example: calling about a job
You: “Hello, this is Maya Chen. I’m following up about my interview. Could you call me back when it’s convenient? You can reach me at [your number]. Thank you for your time.”
Problem → Need → Request
The person didn’t answer.
I need to ask about the appointment.
Could you call me back, please?
Your complete thought: “Hi, this is Alex. I’m calling about our appointment. Could you call me back, please?”
