Picking up a rental car? Know what to ask before you drive.
You’ve arrived at the airport and are ready to collect your rental car. The staff member asks for your booking and offers insurance options, but you’re not sure about the price, fuel or return rules. Don’t just nod and take the keys. Show your booking, check the insurance, confirm the fuel policy and understand the return instructions.
Start with: “Hi, I have a car rental reservation. Could you help me with the pickup, please?”
Check the total price
“Could you confirm the total cost, including any extra fees?”
Ask about taxes, deposits, additional drivers, mileage limits and optional extras before agreeing.
Check the return rules
“Where and when do I return the car?”
Confirm the location, time, fuel level and after-hours instructions, if relevant.

Example conversation: at the rental counter
Agent: Good afternoon! Are you picking up a car today?
Traveller: Yes, I have a reservation under Morgan. Here’s my confirmation and driver’s licence.
Agent: Thank you. Let me pull up your booking.
Traveller: Could you confirm the total price, including any extra fees or deposit?
Agent: Of course. I’ll go through the charges on your agreement.
Traveller: Great. What insurance is included? Is there an excess or deductible?
Agent: Let me explain the coverage and any optional protection.
Traveller: Thank you. Should I return the car with a full tank?
Agent: I’ll show you the fuel policy and which fuel the car uses.
Traveller: Perfect. Where do I drop it off, and what time is it due back?
Agent: Here are the return instructions.
Traveller: Thanks! Before I drive away, can we check the car for existing damage?
Four steps: pickup → insurance → fuel → return
“Here’s my booking and driver’s licence. Is this the car I reserved?”
“What’s covered, and how much is the deductible?”
“Which fuel does this car take, and how full must it be at return?”
“Where do I drop it off, and when do I return the keys?”
Real English tip: In North America, people commonly say gas or gasoline. In the UK and many other places, you’ll hear petrol. Fuel works as a general word; confirm the correct type for your vehicle.
Insurance vocabulary: Coverage means what a policy or agreement protects against. An excess or deductible is an amount you may be responsible for, depending on the terms. Ask staff to explain exclusions and any optional charges rather than assuming you’re fully covered.
Before driving: Walk around the car, photograph existing marks if permitted, and ask the agent to record any damage. Check the fuel type, mileage, condition and warning lights before leaving the rental location.
Important: Required documents, deposits, insurance options, fuel policies, tolls and late-return fees vary by rental company and location. The signed rental agreement controls your booking. Always confirm the details before you accept the keys.
When something is wrong
Traveller: Excuse me, this car has a scratch on the rear door.
Agent: Thanks for letting me know. I’ll check the vehicle condition report.
Traveller: Could you add the scratch to the report before I leave?
Agent: Yes, let’s check it together.
Traveller: Thanks. Could I have a copy of the updated report?
Problem → Need → Request
I’m not sure which insurance and fuel rules apply.
I need to understand the rental agreement.
Could you explain the coverage, fuel policy and return details?
Put it together: “Before I take the car, could you explain what’s included in the insurance, which fuel to use and where to return it?”
